Description
US Heart and Vascular is needing a Medical Office Supervisor to join our team at Houston Cardiovascular Associates in Sugarland, TX.
Responsibilities:
- Time in staffing each week: ~30-50% (variation depending on whether short staffed and other admin priorities).
- Supervise front desk and clinical teams.
- Lead staff huddles and follow up with email (see sample agenda below)
- Provide feedback as needed. Conduct performance reviews.
- Point person to oversee daily construction project. Escalate concerns to Practice Director as needed.
- Work with imaging scheduler to get updates on PET CT schedule capacity and ensure no shows/cancellations are getting rescheduled by scheduler.
- Manage clinical and front desk staff schedules. Ensure gaps in staffing are covered.
- Track employee attendance and manage OT. Approve staff timecards and time off requests.
- Responsible for ordering supplies for office.
- Submit new and replacement position requests in partnership with Practice Director.
- Keep track of float MAs time working with each doctor (for physician comp purposes).
- Review weekly expense spreadsheets from AP and escalate any errors to AP/Director.
- Monthly review of expenses with Practice Director to ensure accuracy.
- Troubleshoot staffing, equipment, IT issues with appropriate support staff
- Daily Staff Rounding
- Communicate/escalate any issues to Operations Director as appropriate
- Implement process improvement projects in partnership with Director
Requirements:
- Degree: Associate's degree or a certificate in medical office management is preferred
- A minimum 1 year of supervisory or management experience
- A minimum of 3 years of experience in a medical office setting is required
