Summary:

We are seeking a highly organized and proactive Employee Services Representative to join our Human Resources team. The ideal candidate will play a critical role in ensuring a seamless and positive experience for new hires from their initial communication to their first days on the job. This role involves coordinating with various departments, managing onboarding processes, and providing ongoing support to new hires.

Essential Duties and Responsibilities:

New Hire Onboarding:

  • Initial Communication:

    • Welcome new hires and review onboarding/orientation processes.
    • Guide new hires through HRIS Onboarding and Background requests.
    • Maintain ongoing communication with new hires until their start date.
    • Address any background, OIG, or credentialing issues promptly.
  • Coordination with Hiring Managers:

    • Ensure new hires have the necessary equipment, application access, and supplies (e.g., business cards, name badge, scrubs, lab coat).
    • Collaborate on creating and approving the orientation agenda.
    • Order new hire Welcome Box and equipment via the Company Store and IT Portal.
  • Pre-Start Date Preparation:

    • Send the orientation agenda and preparation instructions.
    • Distribute Teams Calendar Invites for all involved in the orientation.
    • Confirm equipment delivery and obtain I9 documents.
    • Conduct check-in calls and send checklist emails to new hires before their start date.

New Hire Orientation:

  • Orientation Planning:

    • Work with the Learning and Development team and Hiring Manager to develop the orientation agenda.
    • Prepare and submit the agenda for approval.
  • Orientation Day:

    • Host new-hire Welcome Sessions as needed.
    • Troubleshoot any access issues and verify I9 documents.
    • Document follow-up items and ensure proper communication.

Post Start Date Support:

  • Ongoing Communication:

    • Send "Checking In" emails to new hires.
    • Address issues from the Welcome Session and complete Employer I9 and E-Verify within three business days.
  • Feedback and Compliance:

    • Gather, report, and act on onboarding and orientation feedback.
    • Follow up with part-time/PRN new hires who miss live orientation, scheduling one-on-one sessions as necessary.
    • Track and ensure completion of new-hire compliance and orientation self-study modules, submitting payroll info for part-time/PRN providers upon completion.

New-Hire Buddy Program:

  • Match new hires with tenured associates who volunteer as Buddies.
  • Send introductions and instructions to initiate the Buddy relationship.
  • Track weekly summaries and respond to follow-ups as needed.
  • Send gifts at the end of each Buddy service and recruit new Buddies.
  • Manage the cHello New Hire Buddy Space.

Company Store Inventory Management:

  • Maintain minimum inventory levels.
  • Update store Welcome letters/directories and communicate with Brandito (store) and Worth Higgins (publisher).
  • Collaborate with the Marketing department.

Collaboration and Support:

  • Work with the IT Support Group for new hire equipment and troubleshoot HR-related IT tickets.
  • Partner with the Credentialing team to clear new hire providers before their start date.
  • Collaborate with the Learning and Development team for orientation planning.
  • Manage the Curana New Associate site on cHello.
  • Assist with HR helpdesk tickets.

Other Duties:

  • Perform other duties as assigned by the HR team.

Qualifications:

  • High School Diploma or equivalent; some college preferred.
  • Experience in Human Resources, Marketing/Communications, or Healthcare preferred.
  • Basic knowledge of Microsoft Word, Excel, and PowerPoint required.
