YOUR ROLE

As an Executive Assistant, you support the organization by supporting senior leaders with managing their calendars, travel, and external meetings. You will engage with internal and external stakeholders and partners on behalf of the executive team to assist in scheduling, organizing events and interviews, and more. You’ll help the entire enterprise by supporting the leadership team and helping them be more effective and efficient.

PRIMARY FUNCTIONS

  • Provide multi-faceted administrative support and assistance to Company executives.
  • Manage executives’ schedules to ensure effective use of an executive's time and productive interactions with staff and the public, including calendar management, meeting scheduling and preparation, ownership of follow-up task completion, and taking notes or minutes, as needed.
  • Manage and execute complex travel arrangements for Company executives and job candidates, including booking transportation and lodging and preparing itineraries.
  • Conduct research and information gathering on behalf of Company executives and prepare summaries, memoranda, reports, and other deliverables.
  • Use discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality.
  • Draft and execute correspondence for an on behalf of Company executives.
  • Manage main office resources and ensure smooth business operations by answering telephone calls, greeting and managing visitor presence and agenda, managing office supply resources, and handling written correspondence to and from organization.
  • Create and maintain document filing systems, both electronic and physical, to promote organizational efficiency.
  • May engage third party vendors, or direct and deploy support staff or other resources, to achieve Company objectives.

  • You have experience putting processes in place (i.e. Helping create employee handbooks, manuals, scheduling, answering phones, booking events and travel, etc.)
  • You’re an exceptional communicator (written and verbal)
  • You’re proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and have excellent typing skills
  • You have strong organizational and time management skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment
  • You have a proven ability to handle confidential information with discretion
  • You have strong interpersonal skills and the ability to build relationships with key stakeholders
  • You have demonstrated the ability to achieve high-performance goals
  • You’re a forward-looking thinker, who actively seeks opportunities to contribute
  • You’re a proactive problem-solver, with strong decision-making capability
  • You’re a highly resourceful team player, with the ability to also be extremely effective independently
  • You have 3+ years of experience as an Executive Assistant
