Summary
Responsible for front office including reception and general departmental support. Answer calls and greet visitors, assist with appointments and maintain calendars, create professional correspondence and documents, process mail and packages, maintain supplies, and collect and reconcile payments.
Essential Duties and Responsibilities
Answer incoming calls on general office phone, validate member status, answer emails or other electronic messages, respond as appropriate, answer questions and refer questions to medical staff as needed. Assist with form completion and referring difficult questions to the medical staff.
Greet people and maintain the flow in the waiting area.
Informing the doctor, nurse or other healthcare staff about impending appointments. Immediately notify the providers of emergency situations requiring immediate care.
Maintain the medical appointments and clinic events calendars.
Assist with collection and documentation of pertinent demographic and clinical data.
Assist in securing future appointments or testing.
Performs outgoing phone calls and secure messages to patients: (i) Proactive outreach for lifestyle risk reduction and disease management, including documentation of all interactions in the EMR, (ii) Follow-up on medical visits to the clinic as necessary.
Create professional correspondence and documents, file documentation in files as appropriate, and mail to correct address, if applicable. Copy, scan, and fax documents. Maintaining a filing system for all patient documents and reports submitted.
Process incoming and outgoing mail and packages.
Order, stock, and maintain an appropriate inventory of office and cleaning supplies.
Responsible for collecting money for co-pays – clinic specific, reconciling credit cards and cash, tallying the cash drawer and prepare deposits.
Maintain client confidentiality and maintains HIPAA regulations and protocol.
Maintains an organized, clean, sanitized, and professional work environment. Address any issues with the manager in a quick and timely manner. Display appropriate postings according to company branding and standards and according to manager directives.
Qualifications
High School Diploma or GED. Associate degree in Office Technology, clinical classes, or related college experience preferred.
2+ years front office experience in a business environment including writing professional correspondence and documents.
1 or more years of providing superior customer service to the general public with a variety of needs.
Experience handling payments, cash, and reconciling deposits. Basic accounting and math skills.
Experience in a medical office and familiarity of medical terms preferred.
Knowledge of Electronic Medical Record software or similar recordkeeping software.
Strong technical expertise using Microsoft Teams and Microsoft 365 including Word, Excel, Outlook, PowerPoint, etc.
Excellent written and oral communications skills. Ability to communicate medical conversations with clients, patients, business leaders and professionals.
Exceptional customer service skills and ability to promote teamwork. Ability to build and maintain trusting relationships by approaching all work with integrity and commitment.
Excellent time management skills and ability to multi-task, prioritize work, execute a plan, and meet deadlines.
Flexibility and adaptive skills with the ability to effectively manage competing priorities in a constantly evolving workplace in a fast-paced environment.
A proven record of successfully working with employees, stakeholders, clients, vendors, and guests.

Pay Range: $19.00-21.00/hr
