Who We Need

As a Workplace & Talent Ops Associate on the People & Talent team at Rillet, reporting to the People Ops Manager, you'll own the candidate and employee experience in our NYC office and keep recruiting operations moving. You'll partner with hiring managers and IT on the systems, automations, and AI tools that make this team faster.

In-person role based in our NYC office. Required Tuesday-Thursday with a strong preference for 4-5 days per week.

What You’ll Do

Drive a lot of execution. Scheduling interviews, greeting candidates, posting roles, updating Ashby, fixing a doc that's wrong. Manage side projects to rebuild how something works because you noticed three things that should be one thing.

If you like cleaning up the mess and can't help but make it better while you’re at it, this is for you.

  • Workplace & Employee Experience Make the NYC office a place people want to be. Manage candidate greetings, new hire first-day setup, team lunches, events, the "wait, who's handling this?" stuff. You’ll shape every aspect of the on-site experience.

  • Recruiting Ops. Run Ashby end-to-end from job postings and interview logistics to candidate communication, pipeline reporting, funnel hygiene, offers, and background check coordination.

  • Documentation & Process Optimization. You know how to bring order. Consolidate playbooks, document key processes, and reduce repetitive questions through clear, accessible guides.

  • Tooling and Automation. Build solutions the team doesn’t have yet. Ashby workflows, templates, integrations across our HR stack, and AI tools (e.g., Claude Skills, shared prompts) for team efficiency.

  • General People Ops Support: Handle employment verifications, leave management, HRIS data hygiene, compliance tasks, onboarding/offboarding, the inbound "hey can you..." asks that hit Slack at 4pm.

Who We’re Looking For

  • 3-5 years in recruiting, people ops, biz ops, workplace ops, office management, or EA. How you think matters more than your exact title.

  • You make decisions and act on them. You don't wait for permission to fix what's broken.

  • You communicate clearly in writing and document what should be documented.

  • You build with AI. Real automations that take work off the team's plate, not demos.

  • You default to action and moving fast but know when to ask questions.

  • Comfort operating in ambiguous environments with little pre-existing structure.

  • You're curious. You try the new tool, read the thing, ship a prototype on a Tuesday because you wanted to see if it'd work.

  • You like being in an office. The in-person energy is the point, not a tax.

Bonus points

  • Experience at a tech start-up (ideally Series B/C) or similar fast-paced environment

  • Deep Ashby experience - ownership of setup, workflow design, integrations for EPD and GTM hiring processes

  • Justworks, Rippling, or similar HRIS experience
