General Summary
Performs selected nursing and administrative/clerical duties that assist in patient care management.
Principal Duties and Responsibilities
- Provides excellent customer service and the highest quality patient care.
- Coordinate the online process of referring patients to appropriate clinics. This tracking may use online referral database(s) outside of current practice management system.
- Be the system navigator and point of contact for clinic offices concerning completion of the transfer of online documentation to the practice management system.
- Ensure complete and accurate registration in the practice management system, including patient demographic and current insurance information.
- Support providers and patients in synchronizing appointments, authorizations, and tests taking place in different clinics.
- Ensure that referrals are addressed in a timely manner; ie, contact patient within 48 hours. Update dispositions of patient contact, appointment times and/or patient refusals continually throughout the entire process to completion in the online referral database.
- Assemble information concerning patient's clinical background and referral needs. Per referral guidelines, provide appropriate clinical information to specialist. Information to be uploaded to the practice management system.
- Maintain ongoing online tracking and appropriate documentation of referrals to promote team awareness and ensure patient safety.
- Communicate with designated clinic staff to ensure accurate follow-through of referral.
- Establish and maintain relationships with identified network liaisons in coordinating online process.
- Assist patients in problem solving by ensuring clinic staff are notified if any potential issues arise related to the health care system, financial or social barriers (e.g., request interpreters as appropriate, transportation services or prescription assistance).
- Follows all OSHA and other safety guidelines.
- At all times protects the confidentiality of protected health information (PHI) of patients per HIPAA regulations; does not normally have business need for seeing PHI of employees.
- Completes education requirements timely, as set by the Company.
- Actively demonstrates collaborative and professional teamwork at all times.
- Performs other duties as required.
- Works at a centralized location during scheduled hours. Regular attendance in accordance with our policy is an essential requirement of this role.
Knowledge, Skills and Abilities
- High school diploma or equivalent.
- At least 2 years of front medical office experience including scheduling, collections and pre-authorizations.
- Cardiology practice experience highly preferred.
- Fluently speaks, reads, and writes English.
- Understanding of HIPAA requirements.
- Excellent verbal and written communication skills.
- Ability to meet physical demands of the job which include, but are not limited to: standing, bending, pushing, pulling, lifting, transporting supplies or equipment, walking for extended periods of time, and occasionally lifting and carrying items which may weigh up to 50 pounds.
- Vision and hearing must be within or correctable to within normal range.
Work Environment
- Long periods of standing or sitting.
- Normal range of hearing, voice, and vision to perform work and communication.
- Repetitive use of hands and fingers (e.g. use of computer keyboard).
- Ability to travel to off-site clinics.
- Busy, complex office environment requiring detailed, focused attention.
- Normal office environment with minimal discomfort due to noise, temperature or dust.
- Ability to meet physical demands of the job which include, but are not limited to: standing, bending, pushing, pulling, lifting, transporting supplies or equipment, walking for extended periods of time, and occasionally lifting, pushing, pulling and carrying items which may weigh up to 40 pounds.
- Vision (including the discernment of color) and hearing must be within or correctable to within normal ranges.
