Description
US Heart and Vascular is needing an Operations Manager to join our team at Willowbrook Cardiology in Houston, TX
Position Summary
Under the direction of the Regional President, develops, administers, directs and coordinates the focus of business operations and effective business processes for each clinic. Provides direction and ongoing support of the Company’s policies and procedures.
Responsibilities & Duties

Acts as a liaison between clinic managers / staff and Home Office to ensure smooth and effective billing / collections and works to resolve issues.

Coordinates with senior management to ensure organizational problems are resolved to include, but not limited to, EPM (electronic practice management) troubleshooting, marketing, etc.

Works to communicate effectively with physicians, clinic managers, department directors and the executive team to provide continuous focus on quality, efficiency and ongoing improvement by identifying opportunities to develop and implement Best Practice procedures within the Company.

Consults with peers and advises on problems affecting billing and collections as they relate to clinic operations.

With directions from the Regional President or manager, initiates appropriate, timely, corrective action plans in response to unfavorable results and trends.

Identifies training needs, implements processes for delivery and follow-up of same.

Works with clinic managers / staff to develop and implement performance goals to achieve company / clinic objectives.

Monitors and continually works to improve cash collections and accounts receivable for each clinic working in conjunction with corporate business office.

Ensures that effective point-of-service processes are in place, which are capturing maximum dollars at the time of service.

Supports office managers on accountability for staff productivity, FTE management, minimization of overtime, and overall financial performance of each clinic.

Analyzes systems and procedures and recommends changes to improve workflow and efficiency.

Manages and oversees staff assigned to them, including, but not limited to: payroll, time off, coaching, counseling, mentoring and termination.

Facilitates communications between clinics and appropriate corporate representatives.

Assists in the coordination of on-boarding new clinics, implementation of policies and procedures, transition of new affiliates, employees, vendors, etc.

Regularly travels to clinics to provide leadership and direction for clinic management and ensure positive relations between clinics and physicians.

Maintains a safe workplace by following established safety protocols, reporting hazards, and participating in required safety training.

When position requires travel to/from other locations, ensures vehicles are operated and maintained in compliance with all safety, regulatory, and company requirements.

Knowledge, Skills and Abilities Required

Outstanding communication skills working with physicians, clinical managers and department directors.

Ability to efficiently and simultaneously handle multiple projects and shifting priorities.

Knowledge of federal, state, and local laws, statutes, regulations, codes, and standards related to the area of responsibility.

Knowledge of the principles, concepts, and theories relevant to the assigned functional area.

Skill in completing assignments accurately and with attention to detail.

Ability to communicate clearly and concisely both orally and in writing in English, to various audiences.

Ability to manage time, organize work, set priorities, meet deadlines, and follow up on work assignments with minimal supervision.

Ability to work independently, and as a team, to complete daily activities according to the work schedule.

Working knowledge of Office 365 programs such as Excel, Outlook, Word, PowerPoint, etc.

Working knowledge of EMR systems.

Requirements:
-
Bachelor’s degree in health/business administration or closely related field.
-
Ten (10) years supervisory / management experience in a physician practice management environment.
-
Experience working within an electronic practice management (EPM) environment to troubleshoot and resolve issues at the clinic level to quickly establish business relationships, and subsequently build and maintain such, based on trust and respect with peers, staff and physicians.

If the individual in the role will drive for work purposes, a current valid state driver’s license and required minimum auto insurance coverage.

Multi-site management experience: specialty practice and/or cardiology preferred but not required

Experience working in Private Equity backed environment preferred but not required
-
Master’s degree in health/business administration preferred but not required.
