US Heart and Vascular is needing a Clinical Services Manager to join our team at Pima Heart and Vascular in Tucson AZ

Position Summary

The Vein Center/Vascular Manager is responsible for the overall leadership, operational performance, and growth of the Vein Center. This position oversees daily clinic operations, clinical and administrative staff, patient experience, financial performance, provider support, and regulatory compliance. The manager partners with physicians and executive leadership to develop and implement strategies that improve patient access, operational efficiency, quality outcomes, and revenue growth.

The Vein Center/Vascular Manager serves as the operational leader for all vein services, including consultation, vascular ultrasound, minimally invasive vein procedures, and post-procedure follow-up.

Essential Duties and Responsibilities:

Operational Leadership

  • Direct the day-to-day operations of the Vein Center/Vascular across all clinic locations.

  • Develop and implement operational workflows that improve efficiency and patient throughput.
  • Ensure providers have the necessary clinical and administrative support to maintain productive clinic schedules.
  • Monitor clinic performance and identify opportunities for operational improvement.
  • Collaborate with executive leadership on strategic planning and service line expansion.

Staff Leadership

  • Recruit, hire, onboard, train, supervise, and develop clinical and administrative staff.
  • Conduct performance evaluations and provide coaching and mentoring.
  • Manage staffing schedules to ensure adequate coverage.
  • Address employee relations issues and administer corrective action when necessary.
  • Foster a culture of teamwork, accountability, and exceptional patient care.

Financial Management

  • Develop and manage departmental budgets.
  • Monitor labor costs, supply expenses, and overall financial performance.
  • Review productivity metrics and implement initiatives to improve operational efficiency.
  • Maximize procedure utilization and clinic capacity.
  • Monitor key revenue cycle indicators, including authorizations, scheduling, charge capture, and reimbursement trends.

Clinical Operations

  • Ensure efficient patient flow from referral through treatment completion.
  • Oversee scheduling of consultations, vascular ultrasounds, vein procedures, and follow-up visits.
  • Collaborate with physicians to optimize clinic templates and procedure scheduling.
  • Ensure timely completion of clinical documentation within the electronic medical record.
  • Support implementation of new technologies and treatment protocols.

Patient Experience

  • Promote a patient-centered culture focused on exceptional service.
  • Resolve patient concerns and service recovery issues promptly.
  • Monitor patient satisfaction data and implement quality improvement initiatives.
  • Ensure timely communication with referring providers and patients.

Business Development

  • Develop strategies to increase referral volume and market growth.
  • Build and maintain relationships with referring physicians and community partners.
  • Collaborate with marketing to promote vein services and community outreach initiatives.
  • Analyze referral patterns and implement strategies to improve conversion rates.

Compliance and Quality

  • Ensure compliance with HIPAA, OSHA, CMS, and accreditation standards.
  • Develop and maintain departmental policies and standard operating procedures.
  • Monitor quality metrics, patient safety initiatives, and regulatory compliance.
  • Participate in quality improvement committees and organizational initiatives.

Provider Support

  • Partner with physicians and advanced practice providers to improve workflow efficiency.
  • Coordinate provider onboarding and orientation.
  • Ensure provider schedules maximize access and productivity.
  • Support physician recruitment and program development initiatives.

Data Management and Reporting

  • Monitor and report key performance indicators, including:
    • New patient access
    • Referral conversion rates
    • Procedure volume
    • Ultrasound utilization
    • Clinic productivity
    • Revenue and reimbursement trends
    • Patient satisfaction
    • Employee engagement
  • Prepare monthly operational reports for executive leadership.

Minimum Qualifications:

Education

  • High School Diploma or GED

Experience

  • Minimum of five years of progressive healthcare management experience.
  • At least three years of leadership experience in an ambulatory or specialty medical practice.
  • Experience managing vascular surgery, vein centers, interventional radiology, cardiology, or surgical specialty practices preferred.

Knowledge, Skills, and Abilities

  • Strong leadership and team-building skills.
  • Knowledge of vein disease treatment and vascular practice operations.
  • Experience with electronic medical records (eClinicalWorks preferred).
  • Understanding of healthcare finance and budgeting.
  • Knowledge of insurance authorization processes and revenue cycle management.
  • Excellent communication, conflict resolution, and organizational skills.
  • Ability to analyze operational data and implement performance improvement initiatives.
  • Proficient in Microsoft Office applications, including Excel and PowerPoint.
