Clinical Care Navigator, Medical Receptionist Overview
The Clinical Care Navigator, Medical Receptionist plays a critical role in supporting Wayspring’s clinic operations across multiple markets. This position serves as the first point of contact for patients and ensures seamless coordination of administrative tasks that keep our clinics running efficiently. From managing inbound calls to scheduling appointments and processing medical record requests, you’ll help create a smooth, supportive experience for every patient. This role will be working 2-3 days in office Tuesday-Thursday and remotely the remaining week days, normal business hours 8-5.

Responsibilities of the Member Experience Specialist
Inbound Call Support
- Answer, assess and route calls across multiple markets, ensuring patients are directed appropriately.
Scheduling & Appointment Management
- Schedule, confirm, and reschedule patient appointments.
- Assist patients with joining virtual visits by explaining telehealth processes.
- Follow up on missed or canceled appointments to maintain continuity of care.
Medical Record Requests
- Process and respond to medical record requests in compliance with HIPAA and privacy regulations.
- Collaborate with internal teams to ensure timely and accurate fulfillment.
Administrative Documentation & Coordination
- Register new patients and update existing patient information and documentation accurately.
- Complete other market-specific administrative tasks (e.g., data entry) as needed.
Requirements & Preferred Qualifications
- Education: Highschool Diploma or equivalent
- Experience in a medical receptionist or healthcare administrative role preferred. Familiarity with scheduling systems and electronic health records (EHR).
- Strong communication and organizational skills. Attention to detail, ability to multitask, and proficiency in Microsoft Office. Familiarity with HIPAA and patient privacy regulations.
- Comfort working in a dynamic, multi-market healthcare environment.
